There is a primary and unique ‘Fund Filer’ reference for each donor record. A value here is essential for Fund Filer to carry out much of its background work. The next number in sequence will automatically be entered when you create your donor record, but you can specify an alternative provided it does not duplicate an existing number.


These numbers are alpha-numeric. You can choose any sequence that suits you.

Fund Filer can handle duplicate references. You might need this occasionally if you wish to re-use numbers, particularly if your Fund Filer references correspond to envelope numbers.


To create a duplicate reference, archive the previous one first. The old donor record will not disappear. It will always be accessible to you in the ‘archived donors section’. If recording a donation from someone with a duplicate reference, both donors will appear if searching by donor number, but the archived one will be in grey.
